 ROLE OVERVIEW

 Responsible for collating, indexing, categorization and management of permanent collections of documents and judicial records for preservation.

ROLE AND RESPONSIBILITIES

 Preparing the files, using a process that involves cataloguing and preparing them for public access.

  • Facilitate numbering of files and secured documents of the Registry
  • Prompt response to request for documents and records by Hon. Judges, Staff and External Researchers.
  • Secure scanned documents of the Registry.
  • Write description of the preserved records for easy retrieval and creating accessible archives for researching
  • Taking stock and retrieval of documents such as: Register of Case, Court Records, Minutes of Proceedings, Court Processes and Orders, Enforcement documents, copies of Official Journal containing Notice of Registration and all audio-visual material.
  • Develop workflows and procedures for the digital repository/archive
  • Help identify, evaluate, recommend, and implement appropriate hardware and software for digital preservation and digitization.
  • Liaising with the Docket Clerks, Court Clerks, Bailiffs, Document Control Officer, Recording  Unit and Registrar in assessing, recommending or determining the materials and documents ( audio & video)  to be archived.           
  • Performs any other related tasks as may be assigned by the Chief Registrar, the Deputy Chief Registrar and the Court Registrar HOD of the division

 ACADEMIC QUALIFICATIONS AND EXPERIENCE

       EDUCATION:       

  • A minimum of Bachelor Degree in Archival Science, Library Science, Art, History by the recognized institute or university.
  • Possession of any higher Degree, Master’s Degree in related fields: Public Administration or Secretarial Administration plus Certification in Legal Archives and documentation will be an advantage.

       EXPERIENCE:  

  • Three (3) years relevant professional experience, including tow (2) years relevant International experience in Archives Domain.
  • Practical knowledge in Legal Archives & Documentation will be an added advantage.
